Privacy Policy

Who is responsible

Linen and Co (Pty) Ltd, registration number 2023/549621/07, at Unit 4, 3 Mopedi Road, Sebenza, Edenvale, Gauteng, 1609, is the responsible party under the Protection of Personal Information Act (POPIA). Our Information Officer is Dawn Gee, the owner of Linen and Co, registered with the Information Regulator of South Africa (registration number 2026-068370). What we collect

• Your contact details: name, email address, telephone number, and delivery and billing addresses.
• For business accounts: company name, VAT number, registration number and the people who buy for the company.
• Your orders and quotations: what you looked at, quoted and bought, and your account type.
• Payment details are entered with our payment provider. We do not see or store your full card number.
• Messages you send us by email, telephone or WhatsApp, and any photos, measurements, logos or artwork you upload.
• Technical information such as your browser and device, to keep the website working and secure.

Why we use it

• To quote, sell, make, deliver and invoice your order, and to handle faults, returns and refunds.
• To set up and run your account and dashboard, and to check trade and reseller applications.
• To keep our accounting and tax records, as the law requires.
• To send you marketing emails or messages, only if you have agreed.
• To protect the website and our customers against fraud and misuse.

Who we share it with

We use trusted services to run the business, and we give each one only what it needs. They include our payment provider, Yoco, which takes your payment; our courier platform, Bob Go, and the couriers it uses, which receive your name, address and telephone number to deliver your order; our accounting system, QuickBooks, which holds quotations, invoices and payments; Mailchimp, which sends our marketing emails; OpenAI, which makes room images and suggests products when you use room inspiration in your dashboard, and runs a quick public web search on a business that applies for a trade account; and our website hosting and cloud storage providers, which store the data the website needs, including photos you upload. OpenAI receives only what it needs: for room inspiration, your room photo if you add one, your description of the room and the products you choose; for a trade application, the business name, type of business and email domain. It never receives your name, contact details or orders. OpenAI is in the United States, so this is processed outside South Africa, under OpenAI's terms for business customers. We may also share information where the law requires it. We do not sell your personal information.

Marketing and your choices

We send marketing only to people who have agreed. When you agree, we record when and what you agreed to. You can unsubscribe at any time using the link in any email, or by contacting us, and we will still send messages about your orders and account.

Photos and files you upload

Room photos, measurements, logos and artwork you upload are kept private in your account and used only to help you plan, quote and make your order. They are not made public and are not used in our marketing without your permission.

When you ask for a room image or room ideas, your room photo and description are sent to OpenAI to make them, as described above. The finished room image is kept privately in your account with your room. If you would rather not use OpenAI, do not use room inspiration: we can help you plan your room by email, telephone or WhatsApp instead.

How long we keep it and how we protect it

We keep personal information only as long as we need it for the purpose it was collected for and as the law requires. Financial records are kept for the period tax law requires, currently five years. We protect information with access controls, secure connections and trusted providers, but no system is perfectly secure, so please do not send sensitive information through unsecured channels.

Your rights

Under POPIA you may ask us what personal information we hold about you, ask us to correct or delete it, object to our processing of it, and withdraw consent you have given. Contact info@linenco.co.za and we may need to confirm who you are first. If you are not satisfied with how we handle your information, you may complain to the Information Regulator of South Africa at inforeg@justice.gov.za.

Cookies, children and changes

The website uses cookies that keep your basket and sign-in working; these are always on. If you press "Accept all" on our cookie notice, the website also loads tags from Google (Google Analytics and Google Ads) and Meta (Facebook and Instagram). They record which pages you visit and how you use the website, together with details your browser sends such as its address and type, so that we can measure the website and show our adverts. Those companies receive this information and handle it under their own privacy policies. If you press "Decline", or have not chosen, these tags are not loaded. You can change your choice at any time with "Cookie Settings" at the bottom of every page. The website is not intended for children and we do not knowingly collect their information. We may update this policy, and the version on our website applies from the date shown on it.
